Standard Annex — User Accounts and Use

In this annex, «Customer» is the business that buys access to Arenia, on the website (in the General Terms of Sale it is called the «Buyer») or under a signed contract. Other words have the meaning given in the General Terms of Sale.

1. What a User Account is

1.1 The User Account is access to Arenia assigned to a single Participant. The Participant is identified by their email address and logs in with credentials known only to them.

1.2 Each Participant has only one User Account, and each User Account belongs to only one Participant. The Customer buys as many User Accounts as there are Participants.

1.3 With the User Account the Participant does the Simulations on the Professional Situations included, receives the Simulation Feedback of each Simulation and consults their own Individual Sheet.

1.4 The rules in point 2 also apply to trainers' User Accounts, where the contract provides for them.

2. Personal, non-transferable User Account

2.1 The User Account is named: only the Participant to whom it is assigned uses it.

2.2 The User Account cannot be transferred, lent or passed to another person. An address entered by mistake is corrected, on request to info@arenia.it, as long as that Participant has not started practising.

2.3 Sole exception: if a Participant leaves the Customer's business, Synergix reassigns their User Account to another person once only, on written request to info@arenia.it — the Customer cannot do this on its own. The new person receives the User Account with the same Simulation count for the current calendar month; the Simulations, the Simulation Feedback and the Individual Sheet of the person who left remain theirs and pass neither to the new person nor to the Customer.

2.4 Credentials must not be shared with anyone, not even with colleagues or other Participants. Sharing credentials is a breach of contract.

2.5 In case of breach Synergix may suspend the User Account concerned. Before suspending, Synergix gives the Customer written notice of the alleged breach and allows it 5 days to clarify or end it; in case of serious ongoing abuse it may suspend immediately and informs the Customer. The suspension lasts as long as needed to end the breach and gives no right to a refund or to an extension of the Access Period.

3. Practice limit per User Account

3.1 Each Participant User Account includes at most 50 Simulations per calendar month, per User Account, with no carry-over.

3.2 A Simulation counts from the moment the first line of the conversation starts. A Simulation interrupted by a Synergix fault does not count. The count restarts from zero on the first day of each calendar month; Simulations not done in one month carry over neither to the following month nor to other User Accounts.

3.3 The limit defines the practice included. It is not a pricing unit and does not generate additional charges.

3.4 Once the limit is reached, Synergix may block new Simulations on that User Account until the first day of the following calendar month.

4. Classroom mode

4.1 A User Account is for one person's practice. It must not be used to let several people practise, in turns or in front of a group, for example in a classroom with a single device.

4.2 Use of Arenia in a classroom with a group (classroom mode) is not included in the User Accounts. If of interest, it is agreed separately, in writing, on its own terms.

5. Acceptance on first access

5.1 Synergix may ask each Participant, on first access, to read and accept these rules.

5.2 If acceptance is requested, Synergix records it with date, time and version of the text. The record is deleted together with the User Account.

5.3 The Customer makes these rules known to its Participants before the invitation and is responsible for the use they make of the service.
